What we expect from the successful candidate:
• Manage executive schedules, including coordinating meetings, appointments, and travel arrangements.
• Prepare and distribute correspondence, memos, and reports on behalf of executives.
• Maintain organized filing systems, both electronic and physical, ensuring easy retrieval of documents.
• Serve as the primary point of contact for internal and external stakeholders, clients and vendors
• Assist with the preparation of presentations, agendas, and other materials for board meetings and events.
• Conduct research and compile data as needed to support executive decision-making.
• Handle incoming calls and emails, responding to inquiries or directing them to the appropriate person.
• Manage executive expenses and reconcile financial records as required.
• Supporting on other general office tasks as an extended part of the COPS team when needed
• First line cover & support to the Office Coordinators daily tasks in her absence
Your profile:
The role requires a very proactive and extremely detail-oriented individual with excellent communication/professional/native skills in Dutch & English, and an extraordinarily strong work ethic.
A reliable, responsible, and self-assured person who works well alone and can thrive in a team. A professional and composed person who can handle deadlines.
Qualifications
• Interpersonal skills, being flexible and positive, able to listen, and communicating well
• Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software
• Excellent organizational and time management skills, with the ability to prioritize tasks effectively
• Stress-resistant
• Organizational Support, follows company policies and procedures and supports
organization’s goals and values
• Discretion and confidentiality when handling sensitive information
• Bachelor's degree in business administration or related field preferred, but not required.
